A Day in the Life of a Wellness Coordinator: Hannah Hoffman

Take a stroll through an average day with our very own Hannah Hoffman. Learn what valuable services she regularly offers PHP clients and members.


Welcome to a glimpse into the dynamic world of our wellness coordinator! In this role, every day presents new challenges and opportunities to make a positive impact on people’s lives. From promoting healthy habits to ensuring access to resources, let’s take a journey through a typical day in the life of our wellness advocate, Hannah Hoffman.

For those who may be unfamiliar, all PHP clients have access to Hannah’s expertise and resources at no additional cost to them. She is available to help our PHP clients and their employees make healthy lifestyle changes which in turn, gives our clients healthier, happier, and more productive employees.


The following routine is in Hannah’s words.

6:30-8 AM: I start the day by diving into emails and make sure no last-minute emergencies occurred at the end of the prior day. I also use this time to check my voicemails. Since I start the day early I use this time to catch-up on any other items before most of my co-workers or clients begin their days around 8 a.m.

8-10:30 AM: Depending on the schedule for the day, I may be prepping for a lunch and learn that I will be hosting for a PHP client or an onsite wellness screening. That means I will be gathering any materials I need to bring with me to their business such as flyers, giveaway items, and exercise equipment. I will load up my car so it’s ready to go!

10:30-11 AM: I use this time to practice my presentation and double check all of my facts I have cited in my presentation to ensure everything goes smoothly and accurately.

11:00 AM-12:00 PM: Depending on where our client is located, especially for a lunch and learn, I use time to travel. For this example, I will block out one hour to travel.

12:00-12:30 PM: I arrive to our client’s business and meet with them to explain the process of the lunch and learn and ask them to direct me where they would like to me to set up. I unpack, set up, and greet any employees walking into the event.

12:30-1:15 PM: I host the lunch and learn event and focus on a particular topic either the employer requested or the employees requested. I also utilize this time to ask the participants if there are specific topics they would like to learn more about so I can schedule another lunch and learn opportunity around that subject. Topics can range from heart health, nutrition, easy exercises, etc.

1:15-2:00 PM: I meet with the employer and review how the lunch and learn went, how many people participated, and what feedback I received to determine what topic to cover next time. I always want to make sure I am covering subjects the employees want to learn more about.

Meeting with clients is a fundamental aspect of my role. These meetings are essential for building strong relationships and ensuring alignment with their company health goals.

2:00-2:15 PM: I pack up my items from the lunch and learn event.

2:15-3:15 PM: Travel time.

3:15-4:00 PM: I check any emails or voicemails I may have missed during the day and take a peek at the day I have ahead tomorrow.

One thing I really enjoy about my role is that every day is different. I may have a lunch and learn event on a Monday, hosting an onsite health screening at a different employer on Tuesday, host an onsite flu shot clinic at another employer on Wednesday, or meet with an employer on Thursday to review their health goals and setup quarterly health challenges related to their needs.

Some of those challenges might be a step challenge where employees are encouraged to reach 10,000 steps per day for a week and be entered for a prize, or a hydration challenge to ensure they are staying hydrated during the summer months – especially if they primarily work outdoors!


In conclusion, being a wellness coordinator is a rewarding and multifaceted role that requires dedication, creativity, and a passion for improving the health and well-being of others. Each day brings new opportunities to make a positive impact and foster a culture of wellness within organizations and communities alike.
